- Select Admin on the Dashboard.
- Select the Manage Workflows link.
- Select Create Workflow.
- Enter the workflow template Name.
- Choose Onboarding from the Purpose drop-down list.
- Choose the Phase from the drop-down list.
- Choose Calculate Due Dates Starting From When from the drop-down list.
- Choose the Owning Office from the drop-down list.
- Choose the appropriate Tags from the drop-down list.
- Select Save.
- Select Workflow Activities.
- Select Add Task. The Add Tasks pop-up will display.
- Place a check in the box next to the appropriate Task Name.
- Select Add Task.
- Select the + in Task Rules.
- Check the box to the left of the rule to edit.
- Select Add Rules.
- Repeat if applicable.
- Select Workflow Properties.
- Select Publish.
Notes:
- The system task "Verify the New Hire Arrived for their First Day of Duty" is required for Onboarding workflows for auditing a selected applicant with Return Status "Hired" in order to create a New Hire record. See: Auditing an applicant record or Auditing a certificate.
- Task rules are not required. However, if you do not set any rules, then all tasks will be due on the day the workflow is assigned.
- New hire tasks are always Pending upon assignment unless the task rules are set to make them Active.

New hire tasks (including forms) appear as soon as they are assigned and can be completed immediately, regardless of status.
- HR/Onboarding users can view task status, but new hires cannot.
- New hires only see task due dates and completion dates.
- If task rules apply, due dates update automatically based on rule completion.
- Pending tasks are visible on the new hire’s dashboard.
